Here’s the truth. We all want to increase productivity in our work. We all know that we should be productive, but how many of us stay productive in reality?

In this blog post, I will walk you through the Step-By-Step process to increase productivity in your day to day life.

HOW TO PLAN YOUR DAY?

To start a productive day, it’s extremely important to plan out your day well.

When is the best time to plan out your day?

The night before the next day. Yes. You should always plan your next day the night before.

It just saves so much time and chaos you have in the morning and over that, you wake up with a clear idea of what your day is going to look like.

So, you can plan your day easily by using two basic tools. A Calendar and a To-do list. I do not recommend a dozen of productivity apps.

I have learned it the hard way. Productivity comes from simplification.

The simpler you make your tasks, the easier you will complete them.

You can use apps like Google Calendar and any simple to-do list app to get started or go old school with Pen and Paper.

I use Pen and paper for To-do lists and Google Calendar to plan out my day.

We will dig deeper into using Google Calendar and To-lists well, later in the next points, but for now, we just need to remember, we will first use a to-do list to write down all the tasks for the day and then add them into the google calendar in the respective time blocks.

BUILD A SIMPLE MORNING ROUTINE

I believe building routines is one of the key factors to increase productivity in the current scenario. We bombarded with so much content, ads, distractions all the time.

We need to block out times when we can just use our time for ourselves and have a peace of mind.

Here’s when routines come in. I recommend you first build a strong morning routine and then build an evening routine that will help you correct your sleep cycle.

What should you include in your morning routine?

a. Deviceless time (NO PHONE, LAPTOP or T.V.)

b. A Pen and a Notebook

c. Sitting in a Quiet Place.

What I want you to do is, carry out this 5-minute routine every single day to just freshen your mind.

Sit down in silence for a moment and write down 10 things you are grateful for today.

Visualize how your day would look like?

Visualize finishing all your tasks with a peace of mind.

And then go out and crush your goals!

You can add reading books, exercising, and other stuff in your morning routine but since you are just starting, I don’t recommend bringing so many changes at once in your routine.

HOW TO PRIORITIZE TASKS?

So, you have prepared a to-do list but don’t know where to get started. Here’s what I want you to do.

FIND OUT “THE BIG THREE”.

Find the three tasks out of that to-do list which if you completed would make your entire day a win (even if you don’t complete the other tasks in the list).

When you find out that, these are the most important tasks of the day, which you should finish first! Not last but first.

Get the toughest and most important task of your day out first thing in your day.

USE BATCHING?

So, I talked about using a calendar to plan out your day. Here’s how you are going to do it.

Once you have CREATED the To-do list, I want you to create batches for similar kinds of tasks.

Confused? Let me explain this with an example

You have a lot of e-mails to send and reply to. Right?

I want you to designate a specific amount of time in a day to all your emails, instead of sending 10 e-mails throughout the day at different times.

This will help you to focus way better on the tasks you have in hand and complete them faster.

You can also batch all your social media usage time to only a certain period of the day.

Also, you can batch all your unproductive tasks as well.

You can break down a large project and break it down and then

Batch similar tasks to a certain time frame which will increase your productivity ten folds.

This can literally increase productivity by 2 times!!

HOW TO USE TIME BOXING?

Now, we are getting into one of the most important parts of our topic. Time-Boxing.

Here, we will start using the calendar to fill in every block of our calendar and designate certain tasks for that hour.

For example, You have batched all your writing for one hour first thing in your working hours. So, 9-10 is writing time.

Then you have designated time for all your e-mails, for 30 minutes.

You take 30 minutes to break in between.

Then you have designated 2 hours for your video creation and so on.

By using timeboxing you would be able to designate time for every hour and would be forced to complete tasks within that time frame.

And when you use TIME BOXING AND BATCHING TOGETHER, it can increase your productivity like never before.

Organize YOURSELVES

Organizing yourselves is extremely critical for your productivity. When you are organized, it’s easier to focus on the good stuff.

Start with the smallest things. Your Phone. Organize the app drawer and delete apps that you never use or which are toxic.

Also, Organize your laptop. Then go on to organize your drawers, closet, bookshelves, etc.

USE MUSIC TO CALM YOUR MIND

When you are not able to calm your mind or focus your mind, my recommendation would be to use music to your advantage.

Not Pop Music or Bollywood Songs.

White Noise. Studies have shown that listening to white noise during work has helped people to focus on their work even more.

So, listen to white noise.

STOP BEING A PERFECTIONIST

One of the biggest problems I face to date is the mindset of being a perfectionist. No one can be a perfectionist.

You just have to get started and get things done. SIMPLE!

The thought of being a perfectionist can slow down your workflow. Stop being a perfectionist.

START WITH SMALL TWEAKS

Big changes don’t happen in a single day. You have to take it step by step, slowly. You cannot build 10 habits at once.

Take it one habit at a time.

Bring small changes in your daily life, and with time, the accumulation of these small changes will lead to a bigger change in the long term.

DECREASE USE OF SOCIAL MEDIA

Let’s face the truth.

Social Media is toxic and using it for long durations of time throughout the day is not doing any good for your mental health.

Minimize the use of social media to as low as possible.

Use it as a reward at the end of the day when you are done with all your stuff.

ASK FOR HELP IF REQUIRED

You cannot do everything on your own. You have to ask for help now and then. Don’t hesitate to ask for help.

Learn to delegate things that are not very important and repetitive.

When you delegate these kinds of work, you get yourself more time, which you can use for the more important tasks which will help you grow faster in your field.

HAVING TOO MUCH INFORMATION

This is huge and highly underrated. You consumed this piece of content and didn’t apply even one of the steps given here and consumed another piece of content about increasing productivity.

This will prove detrimental to your mental health. You will just have too much information in your brain but zero action. You will just end up being confused about what to do next.

That’s why I didn’t give you a list of 50 productivity hacks to consume. I only talked about stuff that matters.

BONUS: Maintain Sleep Cycle

Sleep is extremely important for your body and brain.

Getting a sleep of 7-8 hours daily is critical.

But even more important to wake up energetic every day in the morning is to maintain a sleep cycle.

There is no perfect time to go to bed or wake up in the morning.

But what’s important is to go to bed and wake up in the morning at the same time every single day.

For example:

If you go to bed at 12:30 A.M in the night, then it’s not a problem.

You should just go to bed at the very same time every day and get a good 7-8 hours of sleep and wake up at the same time in the morning.
